Consider using professional email address
As an agency, we work with hundreds of clients and we see email addresses like [email protected]. I find this troubling for many reasons. There was a time where it seemed to be ok for a small business to have a non-company email address. But in today’s world – getting emails from companies with a yahoo, Gmail, Hotmail or AOL (yikes) address is sending a really bad message.
So what message are you sending?

- Security: When you use a free email, even though you may have a secure password, the free platforms provides much less security than a professional email platform like Gmail or Microsoft Outlook 365. So the message you may be sending to your customer is that my email may not be secure and my business is not sophisticated enough to update to a professional email.
- Brand Awareness: when you send an email like [email protected], and worse when your employees have different email – it often gives the impression that you are small and disorganized business. It’s so easy to set up email today that having a [email protected], which also links to your website provides a professional message to your customer. Personally, as a consumer it gives me pause to work with a small business that doesn’t take the time to set up basic business email.
- Sophistication: Using a free email sends the message that your business is not keeping up with the times. Truthfully, professional email is so easy to set up and has become a standard business practice – that not having a business email screams – “I really don’t know what I am doing” especially when it comes to professional communications.
- Lazy or too busy: Assuming that setting up email is easy, (which it is), and takes only a few minutes if you know what your doing, (which it does), then the message that you are sending is that you are just lazy, complacent, or don’t have the time to present a professional image. Either way, it can make the customer concerned that they are not dealing with a legitimate business.
Both Gmail, known as G Suite and Microsoft Outlook 365 have excellent and inexpensive business email products. Set up takes only a few minutes and both products can cost under $6 per user per month. The features and benefits are amazing. The security features alone make it worthwhile, but when you add the branding of your company and message that you are sending to each customer makes it a great investment.
